Fleetio vs RoadBays: Pricing, Fleet Workflows and Shop Coordination
By Steve Wolfe ·
Fleetio vs RoadBays is not a contest between spreadsheets and modern software. Both products address real maintenance work. The buying question is where your biggest bottleneck sits: organizing fleet operations, coordinating the people doing repairs, or both. Start there and the comparison becomes much more useful.
A practical side-by-side
The table summarizes public documentation, not a performance test. Fleetio capabilities vary by plan. RoadBays includes every module under its quoted per-user license; confirm the configuration and any third-party service costs.
| Area | Fleetio | RoadBays |
|---|---|---|
| Primary focus | Fleet management and maintenance | Fleet maintenance and shop management; each can stand alone |
| Billing basis | Per vehicle; unlimited users listed | Per user per month; no per-asset fees |
| Published dollar rates | $4 Essential annually or $5 monthly; $7 Professional and $10 Premium annually, at the displayed five-asset band | Quote from Support@RoadBays.com |
| Maintenance work | PM, inspections, work orders, parts and reporting; plan-dependent | PM, inspections, tires, warranty and cases |
| Shop coordination | Maintenance shop network and plan-dependent work-order tools | Shared live record when fleet and shop both use RoadBays |
| Connectivity | Telematics integrations and plan-dependent API capabilities | Named telematics integrations and an open API |
Price access, not just assets
Fleetio's posted rates depend on plan, fleet-size band, contract term and payment term. Essential's matrix indicates a limit of 100 vehicles. A 150-vehicle buyer should not simply multiply an Essential headline rate and assume the plan applies. Ask for the correct tier and fleet band.
Unlimited users can matter when drivers, managers, technicians and branch staff all need access. RoadBays uses a different unit: licensed users. Count every role and ask which people need paid seats. A smaller coordination team overseeing many vehicles may evaluate that structure differently from a decentralized team with many active users.
Follow one inspection into finished work
In a demo, report a real-world symptom using sanitized data. Attach a photo and identify the unit. Ask who reviews the finding, how urgency is assigned and what happens if a repair cannot wait for the next planned service. The product should support your process, not substitute a generic form for a maintenance decision.
RoadBays includes DVIR and DOT inspection tools and can connect inspection failures to repair work. Fleetio lists digital inspections and issue management. Ask each vendor to demonstrate escalation, assignment, evidence and close-out in the tier you would buy. Software alone does not establish regulatory compliance or make an unsafe vehicle ready for dispatch.
Look at the fleet-to-shop handoff
RoadBays' specific pitch is one live record from breakdown to paid invoice when fleet and shop both use the platform. That keeps requests, estimates, approvals and completed work connected. It also supports independent use by either side, so a fleet does not have to convert every vendor before it can start.
Fleetio lists a maintenance provider network, shop directory and work-order functionality. That may be valuable if its provider workflow fits your outsourced maintenance. Ask both vendors to show an outside repair and a disputed invoice. Do not assume one product has no vendor collaboration simply because the other makes it a headline.
Validate the connections you depend on
RoadBays lists Samsara, Geotab, Motive, Platform Science, Spireon, Geoforce, PowerFleet, Verizon Connect, Trimble, TruckSuite, Diesel Laptops, Stripe and Twilio, plus an open API. Fleetio publishes telematics integrations and API options with plan differences. A shared provider name is only the beginning of the comparison.
Ask which readings or events are available, how asset identities are matched and what happens when credentials expire. Test an incorrect odometer and a repeated fault event. DTC insights can help organize an investigation, but a code is not a confirmed failed part and AI is not a replacement for service information.
When to choose each shortlist direction
Fleetio may be the better fit when you want its fleet-centered feature set, published tiers, unlimited-user structure or provider network. Staying with a successful Fleetio implementation can also be reasonable if the main issue is an internal process you have not yet standardized.
RoadBays may fit when the fleet-and-shop connection is the priority and its per-user model suits your access needs. Pilot a small asset group and one repair relationship before expanding. Compare complete records, clear ownership and adoption by real users; those are stronger decision signals than a long feature table.
Keep the comparison grounded
This is a RoadBays-authored comparison, not an independent ranking or a hands-on benchmark of competing products. Public documentation tells you what a vendor offers; it does not prove how well a particular setup will work for your team. Ask each vendor to demonstrate your workflow and put the agreed scope in writing.
